Vendor handoff questions, settled before the run sheet exists
The venue's email says vendor access starts at 13:00. The florist's note says doors at 14:00. Both vendors will plan their day around their own number — and the collision surfaces on the wedding day, in front of the guests. Unconfirmed handoff details harden into an invented schedule precisely because nobody turned them into questions while there was still time to answer them.
Every detail gets a status before it gets used
- CONFIRMED BY INPUT — stated in the couple's notes, quoted word for word (the reception venue and date)
- REQUESTED, NOT AGREED — the couple asked for photos before guest entry; the photographer has not confirmed it, so it is not a plan yet
- CONFLICTED — two sources give two different access times; this is a question, not a coin flip
- UNCONFIRMED — the guest entry time is simply unknown, and gets asked rather than estimated
The register, and the questions it produces
The vendor-questions prompt builds the fact register first, then writes one question per gap, addressed to the vendor who can actually answer it:
**(A) Fact register**
- Reception at Alder Hall, 21 Nov 2026 — CONFIRMED BY INPUT ("reception at Alder Hall, 21 Nov 2026").
- Photos requested before guest entry — CONFIRMED BY INPUT as a couple request; not confirmed as agreed by the photographer.
- Vendor access start time — CONFLICTED: venue email says access 13:00; florist note says doors at 14:00.
- Guest entry time — UNCONFIRMED (stated as unknown).
**(B) Vendor-specific questions**
- Venue manager: Can you confirm the vendor access start time for 21 Nov 2026 — is it 13:00, as your email states?
- Venue manager: Can you confirm the guest entry time?
Sample data above is fictional, shown so you can judge the output before buying.
The register also lists the dependencies to resolve before a run sheet is distributed — because a run sheet built on a conflicted access time just gives the conflict a nicer layout. The same discipline applies to the photography plan: the questions that settle timing, venue rules and groupings are covered in the companion guide to must-have wedding shot questions.

Questions
Does it fill in missing details?
No — its instructions prohibit inventing details and require flags for uncertainty; AI output can still be wrong, so you must review it.
Do I need a paid add-on, API, or connected account?
No — you need access to a compatible AI chat; access limits and any chat-service charges depend on that provider.
Is the draft ready to send or publish without review?
No — the status and source checks are intended to support human verification first.
Can the answers go straight into our run sheet?
Only the confirmed ones. The register keeps conflicted and unconfirmed items visibly open until the responsible vendor answers, so the run sheet is built from settled facts — that sequencing is the point of the tool.
