Approval Nudge — Privacy Policy
Last updated: November 5, 2026
This policy covers Approval Nudge, a Freshservice app published by Eichan and sold through the Freshworks Marketplace. It explains what the app reads, what it stores, and what it never does. Approval Nudge runs entirely on the Freshworks platform, inside your Freshservice account: it has no servers of its own, and nothing is sent to the publisher or to any third party.
What the app reads
To find approvals that are waiting, the app reads, through your account's own Freshservice API (OAuth, account-level token):
- Approval status (for example, still requested or already decided).
- Timestamps — when the approval was created, so the app can measure how long it has waited.
- User IDs — the approver's ID and, where one is set, the backup approver's (delegatee's) ID, so reminders go to the right person and escalation notes can name the backup.
- The ID of the parent ticket or change the approval belongs to.
- For changes, the planned start date — used only for the planned-start warning.
The app does not read or store ticket or change content: no descriptions, no conversation bodies, no requester details beyond the IDs above.
What the app stores, and where
Everything the app keeps is stored in Freshservice's own app data storage (the Freshworks platform's key-value store for apps), inside your account:
- Per-approval nudge state — when this approval was last reminded, escalated and warned, and how many reminders it has had. This is what stops the app from reminding twice for the same step.
- A planned-start cache — the planned start date read for a change, kept for up to 24 hours so the app stays within Freshservice's API rate limits.
- The latest daily digest — a copy of the most recent digest, and the date it was delivered, so exactly one digest is sent per day.
What the app does with this data
It sends approval reminders through Freshservice's own reminder function, adds private notes to tickets and changes when an approval passes your escalation threshold, and creates one digest ticket per day addressed to the digest recipient email your admin configured. That is the whole list.
What the app never does
- No AI or machine learning — the app is deterministic rules only.
- No third-party sharing — data is never sent to the publisher, to analytics services, or to anyone else. There is no external server for it to go to.
- No sale of data, no advertising, no tracking.
- No changes to your tickets or approvals themselves — the app sends notifications and private notes only.
Retention
The stored state above is kept while the app is installed, because the app needs it to honour your reminder cadence. When the app is uninstalled, its app data is removed with it. The planned-start cache expires on its own within 24 hours.
